Residents must submit an on-line application to ROMP with the rotation request including: specialty, dates, desired community (3 choices).
Every rotation (ie. different dates, different specialty, different community) must be reflected with a separate application. |

If rotations have been pre-arranged, and the community and/or preceptor has been confirmed, please indicate this clearly on the application. |

2. |
Once the application is submitted, a username and password are generated and supplied to the applicant via an e-mail, which also includes a rotation summary. The password cannot be changed; therefore, it is recommended that the username and password are recorded for future reference. |

ROMP confirms the resident's credentials with the CMPA and the CPSO. |

4. |
ROMP sends the learner an e-mail requesting a letter of good standing be sent from their school. Until this document is received, applications cannot be processed. If an application is submitted more than four months in advance, this step will be held until four months prior to the rotation's start. |

ROMP sends out preceptor requests until a preceptor is confirmed. This is process may take anywhere from a few days to several weeks - please be patient as ROMP works to secure a placement for you. |

6. |
ROMP informs the learner of the match via e-mail. The learner has 7 days to confirm acceptance or rejection of placement. If the learner accepts, it creates a binding agreement between the learner and clinical placement. It is considered unprofessional behaviour to cancel the rotation after it has been accepted. ROMP sends the learner's credentials to the preceptor to sign as the responsible physician for the rotation. |

When the signatures are returned to the ROMP office, ROMP sends the learner an official confirmation letter with the physician's contact information and any additional contact information for the community. The learner is responsible for making arrangements for their first day. |

If accommodations are needed, ROMP will make the appropriate arrangments, or provide the learner with the appropriate information to make arrangements with the community. |

10. |
ROMP sends the paperwork to the hospital for the Cheif of Staff or CEO to sign for the rotation, granting hospital priveleges to the learner. |

11. |
Once these signatures are returned, Dr. Wells, ROMP executive director, signs as a formal confirmation of the rotation. |

In communities with an Education Coordinator, ROMP sends an orientation package to the Education Coordinator to give to the learner on the first day. In communities without an Education Coordinator, the orientation package is e-mailed directly to the learner during the week prior to the rotation. |

13. |
The learner must submit their Rotation Evaluation and Calendar of Education Activity within 60 days of the end of the rotation. Funded learners must also submit an Expense Claim Form with any relevant receipts within 60 days as well. Failure to submit all three documents within the designated time frame will result in lost funding.
