Process of Application

Undergraduate Rotation Requests

  1. Students or Clerks submit an on-line application to ROMP with rotation request including specialty, rotation dates and desired communities (3 choices).
  2. ROMP staff sends learner an email to ask for a Dean’s letter of good standing, which states that the learner will be covered by malpractice insurance while on rotation. Without this document, signatures and hospital privileges cannot be obtained.
  3. ROMP or Educational Coordinator in community of choice inquires about availability of preceptors
  4. Once a preceptor is confirmed, ROMP notifies the learner via email.  *At this point, ROMP considers it unprofessional behaviour to cancell a rotation. ROMP will notify a learner's school of all unprofessional behaviour.
  5. ROMP sends the learner's credentials (application and Dean’s letter of good standing) to the preceptor to sign as the responsible physician for the time that the learner is in the community/hospital.
  6. Physician returns signature form to ROMP office.
  7. ROMP sends the learner a confirmation letter with the preceptor's contact information so that the learners can make arrangements for their first day
  8. If accommodations are needed, they are arranged by ROMP or the community or the learner is given a list of places to contact
  9. ROMP sends the signature form with credentials to the Elective/Educational Coordinator to have them signed by the CEO and/or Chief of Staff at the hospital in which the rotation will occur .
  10. Elective coordinator sends signature form back to ROMP.
  11. Dr. Peter Wells, ROMP Executive Director, signs the form as final confirmation of rotation
  12. ROMP sends the Elective Coordinator in the hospital an Orientation Package to be handed out on the learner’s first visit to the hospital .
  13. Following the rotation, the learner submits an evaluation of the rotation
  14. For funded rotations, the student must submit an expense claim form with origional copies of any rent receipts. An evaluation must be submitted to process the claim.
