ROMP Travel
ROMP Travel Policy
This policy is intended to ease the financial burden of distant community rotations by compensating
clerks and residents for real costs incurred. We strongly encourage trainees to live and learn in the
distant communities. This policy is effective July 1, 2007 and applies to rotations that meet ROMP’s
funding criteria for clerk and resident (including PGY3 and Rural Stream) trainees.
For those choosing to live in the community: Living in the community will be considered those areas within a 25 km radius of the rotation site.
Travel costs will be reimbursed for one return trip per four week block from the community rotation site to the academic centre. Round trip mileage will be pre-determined by ROMP and based on ‘googled’ mileage. (see chart below) A few kilometers have been added to the total round trip to help compensate for travel within the community; for example, between the clinic and the hospital.
Learners are reimbursed at a rate of $0.40 per kilometer.
For those learners based in communities where personal attendance at an educational session is deemed necessary by the Program Director, additional trips either to the academic centre or to an alternate videoconferencing site (whichever is closest) may be considered. In this case, the Program Director must contact ROMP directly to outline the circumstances and approval must be granted by ROMP in advance.
Travel funding covers pre-determined mileage only. Receipts for parking or any vehicle services or accessories will not be covered. For trainees using public transit to travel to a community (ie. bus, VIA, Go), the cost of the ticket will be reimbursed to a maximum of $450.00.
Inner city transportation costs are not covered.
For those choosing to commute:
Travel costs for daily commuting will be reimbursed based on a set mileage chart up to a maximum of $450/month.
Go Train, Via Rail or Greyhound bus services between the Academic Centre may be covered, as determined by ROMP.
Receipts for parking or any vehicle services or accessories will not be covered.
Inner city transportation costs are not covered.
Expense Forms:
Expense Forms must be submitted to ROMP within 60 days of the last day of the rotation in order to be considered, along with the rotation evaluation (evaluation link will be sent to learner via email from ROMP for completion). The preceptor stipend will be with held until the rotation evaluation form is submitted by the trainee to ROMP. Please note that expenses usually take 6 - 8 weeks for reimbursement from submission date and monies come in the form of a cheque from McMaster University to the address specified on the Expense Claim Form.

**By claiming funds through ROMP, all trainees confirm that they have read the above policy and agree to abide by its rules.

To help learners fill out their expense forms, and to create consistancy, ROMP has calcluated the distance between the Ontario medical universities and the communities withhin the ROMP region. As mentioned in the ROMP travel policy, (see above) each distance has been padded with a few extra kilometers to help cover the cost of daily travel.
